Registration Terms

Personal Data

The organiser collects personal data during registration for the Arctic Circle Race. Personal data is stored by the organiser and is never disclosed or sold to third parties, except as outlined below or in connection with anonymised statistics.

Participants are required to provide the following personal information when registering:

• Name
• Address
• Gender
• Club or sponsor name (if applicable)
• Preferred roommate/tentmate (if applicable)
• Nationality
• Year of birth
• Mobile phone number, including country code (e.g., +45 for Danish numbers)
• Email address

Name, gender, race number, country, club/sponsor name (if applicable), year of birth, and nationality will appear on participant and result lists. Race numbers, participant lists, and result lists will be publicly available.

Email addresses and mobile phone numbers are used solely to send necessary race information to participants. Participants cannot opt out of receiving these emails, as they are essential to ensure the smooth organisation of the event. Email addresses and mobile phone numbers will not be disclosed or made publicly available.

Registration and Participation

Registration for the Arctic Circle Race is conducted through the official website: www.acr.gl

To participate, individuals must turn 18 in the year the race is held. However, minors under 18 may apply for an exemption to participate with parental or guardian consent and must be accompanied by a person over 18 years old.

Visually impaired and physically challenged individuals can participate on equal terms with other participants, provided they have an accompanying guide. For safety reasons, all guides must register for the race alongside the person they are assisting. Please contact us at info@acr.gl for assistance with registration as a guide.

Online registration

Arctic Circle Race offers online registration and purchases for various events for organizers.

According to the Consumer Agreement Act on Internet Commerce, Arctic Circle Race has full product responsibility.

Prices

All prices are stated in euros (EUR).

Handling fee: EUR 14

The part of the price charged on behalf of the organizer is exempt from VAT according to the VAT Act’s rules for amateur sports.

Any handling fee stated during registration will be subject to VAT.

Payment

The payment for your online registration will be deducted from your bank within 24 hours after your order has been registered and your credit card has been approved.

Once registration and payment have been completed, the amount paid cannot be refunded.

You will receive a confirmation of your registration and a receipt for the payment by email.

Therefore, please check that your email address is correctly entered.

Race Result is not liable for any outstanding balances between the participant and the organizer.

Right of withdrawal

According to the Danish Consumer Contracts Act, online registration for exercise events falls under services in connection with leisure activities when it is stated in the agreement on which date or within which period the service is to be performed.

Therefore, there is no right of withdrawal (cf. Danish Consumer Contracts Act § 18, subsection 2, no. 12).

It is up to the organizer whether special circumstances may justify a refund of the registration fee.

Race Result acts solely as an intermediary for registration and payment between the organizer and the participant.

For questions or comments regarding the event, contact should be made directly to the organizer.

In the event of cancellation, please also refer to the organizer for further information and possible refund.

Personal data

Arctic Circle Race only collects information that is necessary to process your registration and maintain a normal relationship between participant and organizer.

The information is never disclosed or sold to third parties.

After completion of the registration, the organizer becomes your contracting party, and the organizer’s privacy policy applies.

Race Result AG only processes data on behalf of the organizer.

Security

The payment system is secured against misuse with an SSL solution that encrypts all card information.

This means that neither we nor anyone else (except Nets) can access your card data.

The SSL system also ensures that data between your browser and our server cannot be changed.

The payment module is handled by www.https://www.raceresult.com/

Confirmation and Registration Details

Upon registration, participants will receive an order confirmation via email. If you do not receive a confirmation or notice errors in it, please contact Arctic Circle Race immediately.

Participants will also receive a personal login for their registration profile with Race Result. It is the participant’s responsibility to ensure all information is accurate and updated. Changes must be communicated promptly to Arctic Circle Race.

Cancellation and Refund Policy

Registrations are binding, and participants have no right of withdrawal unless cancellation insurance has been purchased and one of the following criteria is met:

• Acute illness or injury
• Death of an immediate family member (parent, child, or sibling)

Participants who purchased cancellation insurance may receive a full refund, excluding the cost of the cancellation insurance and the administration fee, provided they can document the reason for cancellation with, for example, a medical certificate.

If a participant cannot or does not wish to attend, they may transfer their registration to another individual, provided it is done well in advance of departure for Greenland. Arctic Circle Race reserves the right to deny transfers, particularly if flight tickets have already been issued in the original participant’s name.

Transfer and Resale of Registration

Registrations and race numbers may not be resold commercially or used for commercial purposes, such as bundled with other services or goods, competitions, or promotions, without prior approval from Arctic Circle Race.

Unauthorised resale may result in the cancellation of the registration or disqualification of the participant. The organiser is not liable for fraud or misuse associated with the transfer of registrations, even if facilitated through official platforms like Facebook or Instagram.

Participant Terms

Race Numbers

A start number is personal. For security reasons, the start number must be registered with the participant’s information, so that the organizer knows who is on the route at any time. It is therefore not permitted to pass on your start number to another runner without making an official transfer through Arctic Circle Race (Resale and transfer of ticket and start number), so that the start number and journey are updated with the new participant’s information.

All participants must run with their own personal start number, which must be worn visibly on their clothing at all times. The participant is responsible for collecting the start number from the race office in Kulturhuset Taseralik in Sisimiut, Greenland after the information meeting (which is mandatory) on Thursday, March 26, 2026 at 5:00 p.m.

The issuance of start numbers requires the presentation of a personal ID card, which all participants will receive upon arrival at Sisimiut Airport or at the Race Office one of the days before the race starts. Unauthorized use of a start number may lead to disqualification.

Pick-up of the starting number will take place in Taseraliq on Thursday, March 26, 2026 after 5:00 PM, and is at your own risk. Delays due to, for example, traffic conditions, queues at the pick-up location, etc. are the sole responsibility of the participant.

Time Limits and Withdrawal

The participant must be aware that there may be a net time limit on the race days during the Arctic Circle Race due to weather conditions, etc. This will be announced at the start location on the race day itself. If Arctic Circle Race assesses that a participant during the route cannot complete the race within the time limit, Arctic Circle Race reserves the right to remove the participant from the race.

If a participant cannot complete the race within the time limit, or the participant has to withdraw for other reasons, the participant must contact the volunteer Arctic Circle Race employees during the race to get transportation back to the start/finish.

Use of Media Material

Photos, film footage, interviews and similar media material in which participants appear in connection with the Arctic Circle Race may be freely used by Arctic Circle Race, sponsors and partners, including for marketing purposes.

Photos and videos used by Arctic Circle Race may be published in printed material as well as online, including on websites, Facebook, Instagram and X. All photos and videos are subject to copyright and may not be used in any way for marketing or commercial purposes by third parties without Arctic Circle Race’s approval.

However, participants have the option to ask Arctic Circle Race to remove any photos on the race’s social media.

Liability and Health

By registering, the participant confirms that they agree that participation is at their own risk and that neither the organizer, partners or sponsors can be held liable for injuries that the participant incurs to themselves or others during the race and that cannot be attributed to the Arctic Circle Race.

We would like to point out that you must be 18 years of age to participate in the Arctic Circle Race.

Participants under the age of 18 who have been granted a dispensation to participate also confirm that their parents or guardians have given their consent to the minor’s participation in the race.

The participant must be healthy and fit and be able to complete the entire distance on their own. On the back of the participant’s start number, participants can state relevant conditions regarding the participant’s health.

Force Majeure

Arctic Circle Race reserves the right to cancel the event due to force majeure, including unforeseen circumstances on or near the event date.

Disclaimer

Arctic Circle Race reserves the right to make minor adjustments to the event content, race route, rules and program if deemed strictly necessary. Such changes will not entitle participants to a refund.

 

Acceptance of participation conditions

Upon registration, the participant will be asked to accept the above participation conditions by checking the box. By checking the box, the participant fully accepts the conditions, including that the participant accepts the terms for postponement and cancellation at their own risk.
